Administrative Assistant
Delhi / Lansing Office
HRC’s Delhi / Lansing team is seeking an Administrative Assistant to manage the office and provide administrative and office support for a multi-disciplined staff. We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to the success of this position.
Primary Responsibilities:
- Provide routine information and direction to callers and visitors
- Receives and directs visitors, clients and applicants to the proper individuals
- Performs administrative and office support activities for multi-disciplined staff
- Preparation of general correspondence (letters, memoranda, meeting minutes, etc.)
- Formatting of documents per company standards, client requirements, or as requested
- Proofreading documents for content, correct grammar and punctuation
- Preparation and postage of outgoing mail
- Receive and sort mail and deliveries
- Scheduling conference and meeting room appointments using Outlook
- Coordinate, set-up and clean up meeting and presentation events
- Prepare sign-in sheets for training and presentations as required
- Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Maintain a neat, clean, professional front office environment
Required Experience / Qualifications:
- High School Diploma required
- Minimum two years’ professional administrative experience and responsibilities
- Exemplary interpersonal and communication skills required
- Ability to diplomatically interface with all employees at all levels
- Experience in a fast-paced, client-focused environment
- Must be extremely dependable, trustworthy and flexible
- Excellent organizational, communication and people skills
- Attention to detail required
- Ability to follow-through on assignments to completion
- Outstanding multitasking and organizational capabilities
- Ability to work independently with minimum supervision a must
- Strong computer skills and proficiency with Microsoft Word, Excel, PowerPoint, and Outlook are required
- Experience in the architectural/engineering/construction industry advantageous
